First time organising an event?
5 min read5 sections
Everything you need to know to run your first successful community event in Canberra.
Start small and focused
Your first event doesn't need to be elaborate. Some of the most successful community events started as simple gatherings:
- Coffee catch-up: Meet at a local café to discuss a shared interest
- Park picnic: BYO food and drinks in a public park
- Walk and talk: Explore a local trail or neighbourhood together
- Board game night: Host a casual game session at a community centre
Start with what you can manage, and grow from there.
Choose an accessible venue
The right venue makes all the difference. Consider:
- Public spaces like parks, libraries, and community centres are often free or low-cost
- Cafés and pubs may offer a section without booking fees if attendees buy food/drinks
- Check accessibility: Is there step-free access? Accessible parking? Public transport nearby?
Tip: Visit the venue at the same time of day your event will run to check noise levels and lighting.
Set clear expectations
Help potential attendees know what they're signing up for:
- Be specific about timing: Include both start and end times
- Describe the vibe: Is it casual or structured? Loud or quiet?
- Mention costs: Entry fee, expected food/drink purchase, or completely free?
- Address newcomers: Use our "newcomer friendly" toggle and write a welcoming "what to expect" section
Prepare for the unexpected
Things don't always go to plan. Be ready for:
- Lower turnout than RSVPs: About 30-50% of RSVPs typically attend. Don't take it personally!
- Weather changes: Have a backup plan for outdoor events
- Late arrivals: Start on time but have a way for latecomers to catch up
- Questions: Prepare a brief intro of yourself and why you started this group
Follow up after the event
Keep the momentum going:
- Thank attendees: A quick message through the event page goes a long way
- Ask for feedback: What worked? What could improve?
- Announce the next one: Even a tentative date keeps people engaged
- Connect on socials: Share photos (with permission) and tag the venue
